Elektrobit,, has an opening for an Administrative Assistant to be a part of its team in the USA.  This is a flexible part-time position, targeted at 20-29 hours per week in our Bothell, Washington office. The Administrative Assistant is the first point of contact for team members, visitors, customers, and interview candidates.  The ideal candidate will work in the office every day to cover deliveries (9am), shipping (2:30pm), mail collection and scanning, “office logistics”, and events, but otherwise the position allows for work-from-home flexibility (as approved/agreed with supervisor).  There is an option for additional hours on an ad-hoc basis to support special projects and to backfill for other support staff during vacations.

Your responsibilities

  • Provide administrative support to the Bothell office and management team.
  • Shipping and receiving, mail collection scanning and distribution, ordering and restocking supplies.
  • Travel coordination and logistics.
  • Reviewing expense reports for compliance with travel policy.
  • Organizing and planning team events.
  • Support our HR team with the following: Interview scheduling, maintain filing systems (both electronic and physical), collecting and reviewing new hire paperwork, completing I-9 forms, coordinating onboarding sessions, coordinating service anniversary recognition and celebrations, assisting with our wellness program, assisting with tuition assistance program administration, and participation in our Employee Engagement Team.
  • Support our accounting and purchasing teams as an active participant in our purchasing request workflow.
  • Act as an administrative liaison between our US offices and other global EB offices.

Your profile

  • 5+ years working in an administrative support role.
  • Must be proficient with Word, Excel, and PowerPoint.
  • Detail oriented and ability to follow through on tasks.
  • Well organized in a highly multitasked environment.
  • Creativity and a passion for team event planning.
  • Team player in a distributed multi-site team environment.
  • Able to work independently and be a self-starter.
  • Excellent communication and interpersonal skills.
  • High level of integrity and discretion.
  • Ability to bring new ideas to the team.
  • Positive attitude with great follow through.
  • Experience with complex business tooling (i.e., SAP) is a plus!
